This role offers a unique opportunity to work closely with key stakeholders, contributing to efficient scheduling, strategic planning, and the achievement of our Marine & Operation's targets. We are committed to fostering a culture where every employee thrives, grows, and achieves their full potential. Key Responsibilities: Be the go-to contact for all Port of Newcastle vessel movement customers, including PANSW, shipping agents, coal terminal planners, stevedoring companies, and more. Assist in streamlining vessel movement programs and handling vital documentation with ease. Ensure data alignment with our high standards and maintain an up-to-date, accurate schedule, keeping our service providers well-prepared. Plan and schedule vessel movements, adhering to Port of Newcastle QAP 0301, expertly operating our scheduling system, and maintaining compliance with regulations and procedures. Keep berthing and departure information current in the scheduling system and collaborate closely with Port Stakeholders and Port Services to manage coal and general cargo shipping lists effectively. Support internal and external customers using the Port of Newcastle and its Harbour Management System, providing valuable assistance and expertise. Monitor and adjust vessel movement schedules continuously, optimising channel usage and addressing challenges as they arise. Cultivate strong relationships with Terminals and general cargo agents, ensuring real-time information flow for loading and discharging vessels. Collaborate with PANSW, tug, and linesman companies to ensure resource alignment with our program.  Provide valuable information to our customers and service providers through reports and phone support. Facilitate communications with government agencies such as AMSA and other government agencies, accurately documenting shipping arrivals and departures. Support our commitment to transparency and public service by maintaining and providing shipping information for the General Public telephone inquiry service. Leverage data for reports and maintain adherence to ship handling guidelines and safety directives from the PANSW Harbour Master. Efficiently plan and oversee work programs to achieve established objectives, emphasising environmental and safety standards and addressing the needs of valued internal and external customers.  Identify and bring attention to short and long-term opportunities for productivity enhancements and the adoption of best practices to the Senior Manager Operations and Executive Manager Marine & Operations. Conduct work in alignment with our agreements, PON policies and procedures, and employment conditions, ensuring a consistent and professional approach. Contribute innovative ideas and valuable insights to help achieve the goals of the Vessel Scheduling function. Cultivate strong and effective working relationships to navigate the intricate landscape of stakeholders, including Agents, Stevedores, Terminals, Port Authority of NSW (PANSW), and other external bodies.  Skilfully resolve queries and address concerns, delivering top-notch customer service. Experience and Qualifications: Essential: Minimum 12 months experience in scheduling, logistics planning, or a comparable role. Strong analytical, problem-solving, and planning skills. Excellent written and verbal communication skills. Proficiency in computer and administrative skills. Ability to make quality decisions while meeting deadlines. Desirable Experience in operating a ship booking and scheduling system. Working knowledge of Harbour Management and scheduling systems. Familiarity with Ship Handling Guidelines. Sound knowledge of Port operations. Proficiency in analysis tools such as Excel. What We Offer: Competitive Salary with yearly market benchmarking and reviews Superannuation salary sacrifice, with matching co-contribution up to 2% Fitness Passport Novated leasing Income Protection Insurance Yearly flu vaccination drives Opportunities for ongoing training and skill development Study leave and financial assistance for additional study Additional leave types, including paid special leave and the ability to purchase extra annual leave Gender-neutral 26 week paid Parental Leave Diversity and Inclusion:  We are committed to diversity and inclusion, and we have developed a comprehensive D&I Strategy to ensure we are always moving forward on this front.
